Planning the wedding bar: the questions every couple asks

How many bartenders do we actually need?
One per 50–75 guests is the standard, and the range is about pace: a beer-wine-and-two-signatures menu at 75 guests per bartender flows fine, while a full cocktail list wants the 1-per-50 end. The crunch point is the first thirty minutes after the ceremony, when everyone arrives at once — many services add a second bartender or a barback just for cocktail hour, which is usually cheap insurance against the one line your guests would remember.
We're supplying the alcohol. How much do we buy?
Start from total drinks: two per guest the first hour, one per guest per hour after — 100 guests × 5 hours ≈ 550 drinks. Split it by what your crowd drinks; a common planning split is roughly 40% beer, 30% wine, 30% cocktails, shifted honestly for your people. Then convert: a 750ml bottle of wine pours about 5 glasses, a 750ml bottle of spirits about 16 cocktails, beer is what it says on the case. Good news twice over: most wedding bartending services will build the shopping list for your exact menu and guest count as part of the booking — ask for it — and unopened retail bottles are usually returnable, so buying a safety margin costs nothing but the trip back.
What does the bartending service bring, and what's on us?
Typical full package: the bartenders, the bar setup itself, mixers, juices, ice, garnishes, cups or glassware, tools, and setup and teardown — you supply the alcohol, in most states, because that's how the licensing works. Every service draws the line slightly differently (ice and glassware are the two most common "confirm this" items), so ask for the included list in writing. And ask your venue too: many venues require the service to carry liquor liability insurance, and the good services expect that question.
Are signature cocktails worth it?
They're the best trick in wedding bar planning, and not just for the chalkboard moment. A menu of beer, wine, and two signature cocktails — classically one for each of you — pours faster than a full bar, needs a shorter shopping list with fewer bottles of fewer things, and still reads as more personal than an open bar. How far ahead do we book, and what does the day-of look like?
Book 2–4 months out as a baseline; peak-season Saturdays and tap trucks go earlier. What should we check before signing?
Four things. Coverage: do they serve your venue's area, and is travel included or billed? Insurance: liquor liability and general liability, with a certificate your venue can see — most venues require it. Staffing: confirmed bartender count in the contract, not "adequate staffing."
